Terms of service
Effective September 11, 2026
These are the terms for using KoiStage, software for running koi shows and listing upcoming shows. By creating an account, joining a show with an invite code, or entering a koi, you agree to them. If you run a show on KoiStage, you agree to them on behalf of your club or organization too.
The service
KoiStage is currently free for clubs, exhibitors, and judges. We may add paid features later, such as sponsorship listings; those will have their own terms, and nothing you use today will start costing money without notice.
Your account
- Keep your sign-in email under your control. Anyone who can read it can sign in as you.
- Invite codes are for the people they were sent to. Do not share a judge or staff code with others.
- You are responsible for what is done under your account and codes.
Show data
- The organizing club owns its show data: the entry list, benching records, placements, and results. Club officers may export it at any time.
- You own your photos and entry details. By entering a koi, you give the club and KoiStage permission to use that information to run the show and to publish results, including the photo unless you turn photo consent off for the entry.
- Published results are the historical record of a show. They stay public after the show unless the club takes the archive down or a correction is made.
Judging
KoiStage records decisions; it does not make them. Placements, awards, classifications, refusals, and disqualifications are decisions of the show's judges and committee under the show's own rules. Disputes about a result go to the show organizer, not to us. We will help a club correct a recording error.
Acceptable use
Do not:
- enter a koi you do not own or have permission to enter;
- try to see judging information you are not entitled to, or interfere with blind judging;
- vote more than once in a People's Choice poll, or automate votes;
- upload content that is unlawful, infringing, or not about koi and koi shows;
- probe, overload, or disrupt the service.
We may suspend accounts or remove content that breaks these rules, and a show organizer may remove anyone from their show.
Availability and warranty
We work to keep KoiStage up during shows, and we recommend every club keeps printed judging sheets as a fallback. The service is provided as is, without warranty of any kind. We do not promise it will be error free or always available.
Limitation of liability
To the extent the law allows, KoiStage and the people who run it are not liable for indirect or consequential losses arising from use of the service, and our total liability for any claim is limited to the amount you paid us for the service in the preceding twelve months, which for a free service is zero. Nothing here limits liability that cannot be limited by law.
Ending your use
You can stop using KoiStage at any time and ask us to delete your account (see the privacy policy). We can end or suspend access for breaches of these terms. Published results survive account deletion, attributed to a withdrawn exhibitor.
Changes
When these terms change, the effective date at the top changes with it. Material changes are announced on the sign-in page before they take effect.
